Context

Rikolto (formerly VECO/Vredeseilanden) is an international NGO with more than 40 years’ experience in partnering farmer organisations and food chain stakeholders across Africa, Asia, Europe and Latin America. Rikolto runs programmes in 14 countries worldwide through eight regional offices. We’re a close-knit network of accessible and knowledgeable colleagues, willing to share experience and eager to inspire others.

This network of Rikolto offices is supported by an international office, which fulfils key advisory roles and offers shared services such as finance, monitoring & evaluation, people & organisation, communication and fundraising.

Rikolto has been using Salesforce for two main purposes: as a Customer Relations Management tool and as a database that keeps track of its programmes through network-wide and region-specific progress reports (on expenditure, number of partners and beneficiaries, staff, type of projects).

Following an internal review of programme structures, we identified the need to harmonise CRM approaches and the need to submit organisation-wide data on programme implementation in accordance to this new structure and in compliance with IATI standards (International Aid Transparency Initiative); therefore, the organisation seeks to readjust its database structure to make it fit for purpose.

Scope of work

1. Harmonise and optimise the Contacts section for improved CRM

  • There are two different CRM interfaces, depending on the user type accessing the database. These need to be harmonised in a way that ensures compatibility and that requires least effort to make existing contacts congruent with the adapted structure and to merge duplicates.
  • New record types need to be created with some type-specific fields.

2. Optimise the programmatic sections

  • Organisational and Project record types need to be modified with type-specific fields.
  • Links between Organisations, Projects and Contacts need to be updated for comprehensive programme management.
  • Fields need to be added and a report template to be created to facilitate IATI-compliant reporting in xml. (No IATI-specific knowledge is required for this task.)

Planning

  • In a first phase, the precise scope of the work needs to be defined in coordination with the database managers at Rikolto. A first mapping of the current structure and the needs for adaptation has already been carried out.
  • The brunt of the work will consist of making the adjustments in the structure and testing the functionality of the modifications.
  • Finally, there may be the need for minor tweaks after the first round of data entry (Feb-Mar 2018).
  • We estimate the total work to amount to 10-15 days.

Required profile

We are looking for a consultant who is licensed to make changes in Salesforce databases and with experience in customising databases for different user types and for different purposes (CRM & programme management).

Selection process

Candidates are requested to submit their proposals to info [at] rikolto.org by November 24, 2017, detailing:

  • Relevant experience in relation to the work at hand
  • Succinct overview of proposed approach (max. 1 page)
  • Daily fee rate

We expect to identify the selected candidate and have a kick-off meeting in the week of December 4, 2017.
